Application Switchboard
CLIMS is designed with a very easy to use yet robust user interface. Easily recognizable command buttons and hyperlinks allow for users to quickly navigate through the application. A home page, or application switchboard as we like to call it, provides a single entry point to the application providing the user with a central location for accessing all of your property information. You can quickly navigate to a list of all your buildings, units, parking and storage spaces, edit existing entries or add new ones, review or edit a list of tenants, add new tenants, access financial information, edit or add financial accounts, access system utilities and administration features and much more.
The Home tab on the application switchboard provides a snapshot of building statistics and reminders. Key performance Indicators (KPI) such as building vacancy numbers and rent collected values are provided. Reminders are available enabling a quick review of what is happening in your building and what actions need to be taken. Lease expiration reminders, parking and storage wait list reminders and move in / move out reminders are just a few of the reminders that are available. There is much more functionality accessible from the switchboard.
Building Management
CLIMS allows an unlimited number of buildings each with its own tenants, leases, units, parking and storage spaces and waiting lists. Each building has its own default values such as building addresses, number of units, parking spaces and storage units, default renewal rent increase percentage, default late fee settings and many more building attributes.
CLIMS is designed to enable data filtering by building. Rather than having to ‘connect’ to another building file CLIMS maintains all building information in one database. The Select Building functionality provided in the Application Switchboard allows a user to simply click on the building they wish to work with. The application is then filtered to only work with data related to that particular building. There are reports provided that allow you to un-filter the building so all data from all properties is reported.
It is very easy to add a building to your property portfolio. A simple wizard guides you through the steps collecting the necessary information for your building. Building addresses, number of units, parking spaces, storage units, late fee handling, lease terms and much more enable the property manager and landlord to maintain detailed information on their buildings. Editing building information is simply a matter of select the Building Detail menu option from the Application Switchboard.
Unit Management
CLIMS provides easy to use unit management functionality. Add unit details for each building via CLIMS’s easy to use unit forms. Simply select Add New Unit and you are on your way to entering all the necessary information regarding each unit in your building. A sortable list of all units displays right on the application switchboard for easy navigation through the unit portfolio. A user friendly hyperlink opens the unit detail form for review or editing.
Parking Space and Storage Unit Management
CLIMS includes a powerful parking and storage management tool. You can easily add all the parking spaces and storage units for each building. Via the lease form you can easily select an available parking and/or storage unit for any period within the lease dates of a given lease and assign it to the lease. You are in full control of the cost, additional security and assignment status. There is also waiting list functionality which allows you to add the tenant to a waiting list if there are no parking spaces or storage units available.
Lease Management
The Lease detail form provides access to a broad range of lease management functionlity. A very feature rich form provides you with access to all of the lease details including tenant information, rent values, first month prorate calculator, parking and storage assignments, security, security prorate schedule, rent adjustment schedule, invoice values, additional lease charges, invoice and transaction ledgers, tenant communications and much more.
Tenant Management
The Tenants tab of the lease detail form provides the ability to enter as many tenants per lease as needed and define each by tenant category. Tenant categories include Lease Holder, Occupant and Cosigner. Information such as name, corporation name, primary contact and employment information and more can be stored with each tenant. A convienent list is displayed on the lease detail form providing the user with wuick access to all the occupants defined by a lease.
Lease Starting Balance
CLIMS provides the abilty to enter detailed starting balance line items, each posted to a pre-defined receivables account such as rent, parking, storage, late fee, or any user defined transaction. This gives you much greater control over your starting balance receivables than simply entering a single starting balance amount. This is very useful for migrating information from another system.
First Month Prorate Calculator
The first month prorate calculator allows you to prorate the first month’s rent using either a 360 or 365 day year (as defined in your building setup). You can choose to apply the prorated amount to either the first or second invoice of the lease for even greater flexibility.
Rent Adjustment Schedule
The rent adjustment schedule is a powerful feature providing you with full control over periodic rent adjustments throughout the duration of a lease. You can decrease or increase the rent for a given time period by either a specific dollar amount or by a percentage of the rent value. In adition, you can also collect additional security coinciding with a rent adjustment. A color coded status column is provided so you can visually see the status of each adjustment record.
Security Prorate Schedule
You can easily create a security prorate schedule for any portion of the total unit security amount. The schedule is automatically calculated for you based on the amount and number of months to prorate that you provide. You can accept the system calculated schedule, which by default will be an even distribution over the number of months to prorate, or you can redistribute the monthly amounts as you see fit. If the total security amount is not being prorated the remainder is applied as a Due at Move In charge.
Lease Recurring Charges
Users can define any number of user-defined charges which can then be added to a single invoice or set as a recurring charge to appear on multiple invoices on any lease. You can define the date range, amount and the line item description that you would like to appear on the invoice. This provides the base for a powerful invoicing system allowing the property manager of landlord to invoice any charge necessary. In addition to the recurring charges you can also view, print, post or unpost any invoice and well as receive payments, reverse payments, review returned security and lease credits. This will be explored further in the receivables section of the descriptions and screenshots.
Monthly Invoicing
CLIMS is a powerful invoicing system designed to be both dynamic and flexible. Users have the ability to add any number of charges to a single invoice or to recur on any number of invoices you define. This is in addition to the system charges that are taken care of for you such as rent, parking and / or stoarge costs, rent adjustments, security, move in / move out deposits etc. You can print, view, post or unpost any individual invoice or print invoices in bulk for an entire building.
Invoice and Lease Transaction Ledger
The lease ledger tab of the invoice details form allows you to review all transactions that have occured on a given lease. You can filter by date range, account, or both providing a detailed view into the transactions that have occured on a given lease.

The lease management form contains much more functionality providing a robust lease management tool. You are able to store subsidy program information, broker information, bank and credit card information which is encrypted using the latest encryption technology, details on pets, tenant communications, invoice history, lease history, and more.
Lease Receivables
CLIMS includes a very flexible receivables system. Directly on the Home page of the application switchboard is a view of the building receivables aging. This provides a quick view into the amount of open receivables for a particular buidling as well as the aging report. There is also a quick list of all open receivables for each lease providing a more detailed view of open receivable amounts by lease. By clciking a particular lease the lease receivables form will open showing the aging report for the lease as well as the amount of security on deposit by category and the total available lease credit.
The flexible receivables form allows you to receive a payment for an open receivable via an external source such as a check, cash, money order, etc. or you can apply any amount of available lease credit or even security by category. If you select to receive a payment via lease security the receivables form will prompt you to add a security re-collect charge on a future invoice for the amount you have just taken out of security. By default the re-collect charge is added to the next unposted invoice. You can further customize the charge by modifying the amount, the invoice on which the charge should appear and the line item description that you would like to appear on the invoice.
Overpayments are handled by adding the overpayment amount as a lease credit. The lease credit can then be applied to a future receivable. Late fees are also calculated if a payment is received late. A late payment is determined based on the default building late fee options that you set when defining your building. As you would expect, you are in complete control of the late fee. You can change the amount that is calculated by default, select whcih invoice you would like the late fee to appear and modify the line item description that will appear on the invoice.
As mentioned in the lease section, payments can be reversed if necessary.
Lease Receivable Accounts and Mapping
As detailed in the receivables section, CLIMS is a powerful receivables system. There are many features that fall into the financial category. Here we will discuss the flexible accounts and account mapping functionality. By default, there are a number of system defined accounts that ship with CLIMS. These include unit rent, parking and storage fees, unit security, parking security, storage security, pet security, and a general additional security account. Also included ins a move in/ move out deposit account and a a few more. These accounts cannot be removed by you are certainly able to change the account names and numbers if you prefer. Each of these accounts are mapped to a specifc transaction. For example, any charge for unit rent is mapped to the unit rent account.
Users can further customize the accounts and account mapping relationship by adding any number of user defined accounts and mapping them to any user defined transaction. For example, you may wat to add an account for garbage collection. Then you can add a transaction named garbage collection. Then on any lease you can simply add the garbage collection charge and CLIMS will automatically record all transactions to the appropriate account. Define it once, and you don't have to worry about it again. You don't have to worry about selecting an account each time you add a recurring charge. This helps to prevent posting errors thus avoiding confusing journal adjustments. But, CLIMS does of course provide a form to make general journal adjustment if the need should arise.
The first release of CLIMS is not an eniter accounting solution but rather a lease receivables management system. Certain versions of CLIMS will include an interface with QuickBooks.
